Car Truck Clubs
Privacy Policy
What we collect, why, who receives it, how long we keep it, and your rights.
Effective October 14, 2026
Who we are
Car Truck Clubs (www.cartruckclubs.com) is run by Sargent Interactive LLC, which decides how the personal information described here is used. Contact us about privacy at privacy@sargentinteractive.com, or by mail at Sargent Interactive LLC, PO Box 65, Toney, AL 35773, USA.
Club organizers decide what goes on their club pages and who they approve. They can see the first and last names of members and people asking to join, and the message sent with a join request.
What we collect
We get personal information from you, from a sign-in provider if you choose to use one, and automatically from your browser.
When you join or sign in
- Email address, username, first and last name, nickname, and a password (we store only a strong one-way hash of it).
- Your confirmation that you're 13 or older and accept the Terms of Service, with the date and Terms version.
- If you sign in with Google (or another provider): your account id with that provider, your email address, name and the address of your profile photo.
What you choose to add
- Profile details such as location, about text, website and profile photo, and your email notification setting.
- Clubs, vehicles, photos and captions, events, RSVPs, likes, track reviews, track photos and video links.
- Club membership requests and messages, and club contact details organizers add.
- Reports you send about content, and anything you write in them.
Much of this is public by design. Anyone can see your nickname, profile photo, location, about text, website, the date you joined, and the vehicles, clubs, events, reviews and photos you publish, unless you save them as drafts or a club limits who can see its roster. Your email address and first and last name are not shown on your public profile.
Collected automatically
- Your IP address and technical details your browser sends (such as browser type) when you load a page. Our host, Cloudflare, processes these to deliver and protect the site and keeps request logs for troubleshooting.
- To slow down password guessing, spam and repeated cookie-choice changes, we keep a hashed form of your IP address (or account) with a count of recent attempts. It expires after the time limit (at most an hour) and is then deleted as the site cleans up old records.
- On the sign-in and join pages, Cloudflare Turnstile checks technical signals from your browser, such as your IP address and browser type, to tell people from bots.
- Your cookie choices and a random receipt number. See the Cookie Policy.
We don't use analytics, advertising or tracking tools, and we don't build profiles of your browsing.
Why we use it
- To run your account and the community features you ask for: sign-in, your profile, clubs, vehicles, events and reviews. (Legal basis where it applies: performing our agreement with you.)
- To send emails. Today we only send account emails, such as the link to confirm your email address. If we add club update emails, they will follow the email notification setting in Settings. Our emails contain no tracking pixels or tracked links. (Performing our agreement with you.)
- To keep the site and members safe: blocking bots and password guessing, investigating reports and removing content that breaks the rules, and keeping a record of staff actions. (Our legitimate interest in a safe, working community.)
- To show embedded YouTube videos, only if you allow Functional cookies. (Your consent, which you can withdraw at any time in Cookie settings.)
- To meet legal obligations and respond to lawful requests.
Who receives it
- Cloudflare, Inc. hosts the site, its database and photo storage, sends our emails and runs Turnstile, as our service provider. Cloudflare also uses Turnstile signals to improve its own bot detection, as described in its Turnstile Privacy Addendum (opens in a new tab).
- Google, or another sign-in provider, if you choose to sign in with it. They learn that you are signing in to Car Truck Clubs.
- Google (YouTube), if you allow embedded videos: it receives your IP address and information about the page with the video, and may set its own cookies. Google's use is covered by its own privacy policy.
- Wikimedia (Wikimedia Commons and Wikipedia) and Google receive requests from our server, not from you, when we fetch the track images and sign-in profile photos we show.
- Other members and visitors see what you post publicly.
- Authorities or others when required by law, or to protect people's safety or our rights.
We don't sell personal information, and we don't share it for targeted advertising. We don't allow other companies to collect information about your activity on this site to track you across other websites. The one exception you control is YouTube: if you allow embedded videos, Google can recognize you with its own cookies.
Do Not Track and Global Privacy Control
We don't track visitors across websites, so a browser's "Do Not Track" setting doesn't change anything here. We honor Global Privacy Control as an opt-out of selling or sharing personal information and of targeted advertising, which we don't do.
How long we keep it
- Your account and content: until you delete it or ask us to delete your account.
- Sign-in sessions: 30 days, or until you sign out.
- Sign-in-with-provider attempts: 10 minutes. Email confirmation links: 24 hours.
- Hashed rate-limit records: at most an hour, then removed during routine cleanup.
- Cookie choice receipts: 2 years. Your cookie choice in your browser: 6 months.
- Content reports: open reports until staff resolve them, then 3 years. The record of staff actions: 3 years. Both are deleted automatically after that.
- Our request logs at Cloudflare: up to 7 days. Cloudflare's own retention for security and network data is set by Cloudflare's policies.
Your rights
Depending on where you live, you may have the right to see the personal information we hold about you, correct it, delete it, get a copy to take elsewhere, object to or limit how we use it, and withdraw consent. You can edit most details yourself in Settings. For anything else, including deleting your account, email privacy@sargentinteractive.com. We won't treat you differently for using these rights. You can also complain to your local data protection authority.
International transfers
Car Truck Clubs is run from the United States, and your information is stored and processed there. Cloudflare and, if you use Google sign-in or allow YouTube videos, Google may also process it in other countries where they operate. If you use the site from outside the United States, your information is transferred to the United States, where privacy laws may differ from those where you live.
Children
Car Truck Clubs is a general-audience site and isn't directed to children. You must be 13 or older to join, and everyone confirms this when they create an account. We don't knowingly collect personal information from children under 13. If we learn that we have, we delete the account and its information. If you believe a child under 13 has an account, email privacy@sargentinteractive.com.
Security
We use HTTPS everywhere, store passwords only as strong hashes, and store session tokens only as hashes. No system is perfectly secure, so please use a password you don't use elsewhere.
Changes to this policy
When we change this policy we update the effective date above and list the change here. If a change affects how we use information you've already given us, we'll also tell signed-in members on the site or by email before it takes effect.
